Privacy Policy
Last updated October 8, 2026
Rayscaper collects as little as it needs: anonymous usage statistics and crash reports from the software, your email address when you ask for it, and nothing from your scenes or renders.
Who we are
Thomas Loockx, Houtduifweg 8, 3140 Keerbergen, Belgium (“we”, “us”) makes Rayscaper and is the controller of the personal data described here, under the EU General Data Protection Regulation (GDPR). For any privacy question or request, email [email protected].
This policy covers the Rayscaper software (the SketchUp extension and the standalone app), the website rayscaper.com and the emails we send.
What we collect and why
We never collect your models, scenes, renders or license key. The software identifies itself with a random installation ID, created at install and stored on your computer. It isn’t linked to your name, email or hardware.
| Source | Data | Purpose | Legal basis |
|---|---|---|---|
| Usage statistics (software) | Installation ID, session ID, session length, Rayscaper, SketchUp and OS version, CPU model and cores, memory, GPU rendering on/off, license status (licensed or not), and your IP address, which is used only to derive your approximate country and isn’t stored | Understand which versions and hardware are used, and how long, to prioritize development and support | Legitimate interest; you can switch it off |
| Crash reports (software) | Crash dump and stack trace, the Rayscaper log file, Rayscaper and SketchUp version, installation ID, IP address | Find and fix crashes | Legitimate interest |
| Asset library (software) | A random session ID and the Rayscaper version with each request; downloads of Poly Haven assets go straight to Poly Haven, which sees your IP address | Deliver materials, textures and HDRIs | Contract (providing the software) |
| Website analytics | Pages visited, clicks (with page text masked), referrer, browser, device, approximate location from your IP address. No cookies or other storage in your browser: visitors are counted with a hash of IP address and browser that changes every day, and the IP address isn’t stored | Understand how visitors use rayscaper.com | Legitimate interest |
| Download link and newsletter | Email address, whether you subscribed to the newsletter, the emails sent to you, and whether you clicked the download link in them | Send the download link and, if you opted in, news about Rayscaper | Your request; consent for the newsletter |
| Contact form and support email | Name, email address, message, and any log files you send | Answer your question | Your request |
| Purchases (through SketchUcation) | Your SketchUcation username, product, amount, currency and date of purchase | Keep sales records, handle refunds and license questions | Contract; legal obligation (accounting) |
SketchUcation sells the licenses and checks them in their own extension, under their privacy policy. We don’t receive your payment details.
Who processes it for us
We don’t sell your data or share it for advertising. These providers process it on our behalf, under data processing agreements:
| Provider | What for | Location |
|---|---|---|
| Cloudflare | Website, API, database of usage statistics and contact messages, file downloads | Global network; Cloudflare, Inc. is in the US |
| PostHog | Usage statistics of the software and website analytics | EU (Frankfurt) |
| Sentry (Functional Software, Inc.) | Crash reports | US |
| Resend | Sending emails, newsletter list | Emails are sent from the EU (Ireland); Resend, Inc. is in the US |
| SketchUcation | License sales and license checks | UK |
| Poly Haven | Downloads of free assets you choose in the asset library | Global network |
Where data leaves the European Economic Area, the transfer relies on the EU-US Data Privacy Framework where the provider is certified, on the UK adequacy decision, or on the European Commission’s standard contractual clauses.
How long we keep it
| Data | Kept for |
|---|---|
| Usage statistics | 1 year in PostHog; in our own database as long as we need them to compare Rayscaper versions over time |
| Crash reports | 90 days |
| Website analytics | 1 year |
| Newsletter subscription | Until you unsubscribe |
| Download link emails | Until you ask us to delete them |
| Contact messages and support emails | Until you ask us to delete them |
| Sales records | 10 years, as Belgian accounting law requires |
Your choices
- Usage statistics: in Rayscaper, open Settings, General and clear Send Anonymous Usage Statistics. The software then stops sending them.
- Newsletter: use the unsubscribe link in any newsletter, or email us.
- Website analytics: rayscaper.com sets no cookies. Your browser’s Do Not Track setting turns the analytics off.
Your rights
Under the GDPR you may ask us for access to your data, to correct or delete it, to restrict or object to its
processing, and for a copy in a portable format. Where we rely on your consent, you may withdraw it at any time. Email
[email protected]; we answer within one month. For data tied to the installation ID, send
us the ID, which is in the file installation_id in the folder %APPDATA%\Rayscaper.
You may also complain to the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données), dataprotectionauthority.be, or to the authority of the country where you live.
Rayscaper isn’t meant for children under 16, and we don’t knowingly collect their data. We’ll announce changes to this policy on this page, with the date at the top.
